Why We Have a Fair Use Policy
Generating documents and using the AI assistant in HOBA Pro runs on third-party AI services, and every request costs us money. A fair-use allowance keeps HOBA Pro fast and affordable for everyone, and stops a small number of very heavy users from affecting the service for others.
What Counts Towards Your Allowance
- Document generation: each document HOBA Pro generates for you, in PDF or PowerPoint, counts as one generation.
- AI requests: each time you ask the AI assistant to draft, suggest or rewrite content, for example filling a scope box in a statement of work or drafting a measure in your vision and strategy, counts as one request.
Viewing, editing, commenting, managing your projects and inviting read-only members never count towards your allowance and are never limited.
Monthly Allowances
Unless your order says otherwise, each seat on the following licences includes, per calendar month:
- 50 document generations
- 500 AI requests
This applies to evaluation, pilot, academic, partner demonstration, individual and lifetime licences. Team and enterprise licences have no fixed monthly allowance; we monitor usage and will contact you if it becomes unusually high.
Allowances reset on the 1st of each month. Unused allowance does not carry over.
What Happens When You Reach Your Allowance
- You will see a notice in HOBA Pro when you have used 80% of an allowance.
- When you reach 100%, document generation or AI requests pause until your allowance resets. Everything else keeps working.
- You can see how much of your allowance you have used in your account settings at any time.

What Is Not Allowed
You must not use scripts, automated tools, shared logins or multiple accounts to get around an allowance. We may suspend generation features for accounts that do.
Changes to This Policy
We may change allowances as HOBA Pro develops. If we reduce an allowance, we will tell you at least 30 days in advance. This policy forms part of the HOBA Pro Terms of Use.
